Experience:
At least 1 - 2 years' experience as a corporate receptionist in a clerical or administrative role.
Preference to experience within the service industry.

Job Description:
As an Administrative Assistant located at our front desk, you will be the first point of contact for our company, communicating with Homeowners, Board Members, Vendors, Staff, and other Community Partners.
Your administrative tasks are detailed below to offer support to your designated Community Association Manager (CAM).
Duties &
Responsibilities:
Association Business o Assist Community Association Manager (CAM) in operations and projects o Assist Facilities & Maintenance manager (Obtain needed supplies, Communicate with vendors, Track work orders) o Assist in maintaining Association Calendar, Annual Directory, staff schedules o Maintain records, databases, e-portals, digital and physical files in relation to Association Business o Maintain correspondence with Board Members, Association Members, Vendors, and other Community Partners (i.
e.
, prepare and distribute e-blast communications, newsletters, paper mailings; communicate directly with individuals and smaller groups) o Daily Office Administration needs (Checking USPS Mail, e-mail, telephone messages, and responding to inquiries; Ordering of office supplies; Preparing mailings) o Assist Homeowners (face-to-face, via phone, via email) with various tasks such as Gate Access, e-Portal Navigation, Payment Processing, and other inquiries o Design Review Committee support (Assist homeowners, Maintain records re:
DRC applications, projects, deposits, fees, approvals, and project completions) o New Board Members/Elected Officials support o New Homeowner/Escrow Document support o Budget Preparation and Financial Documents support o Dues/Assessments Payment and Homeowner Delinquency Reports support o Process Invoices and Statements regarding Association Business; Correspond regularly with Accounting Department and with Vendors to ensure services rendered and paidBoard/Association Meetings:
o Assist in preparation and dissemination of documents related to Board/Association Meetings (i.

, Agendas, Board Packets, Public Notices, Correspondence, Minutes) o Attend select Board/Association Meetings and assist in administrative capacityEvent Planning o Assist in organizing and executing events such as Fourth of July Celebration, Glenbrook Day, and other miscellaneous events (Booking vendors, Ordering Supplies, Member/Guest Correspondence, Ticket Sales and Tracking, Event Day Support)Compensation:
$23 - $27/hour DOEPosition Hours:
Monday thru Friday, 9am - 4pm; hours may increase during Spring/Summer months.
Must be available to work July 4th and August 1st.
